    Exclusive Networks Norway is focused on launching cybersecurity start-ups activities as well as developing more mature vendors all across Norway. Activities cover classic distribution (financing and logistics) as well as added value services (marketing, sales, technical support, services, leasing…). The company has reached ~15M€ and employs ~10 persons.

    Today, to assist our development and support the team, we are recruiting an Office Manager.

    He or she works in close collaboration with the rest of the team and is our interface with Group Finance, Group IT, the external Accounting company and our customers when it comes to payments and financial topics. It is a central and key role to make our operations fluid, efficient and reliable.

     

    Main activities

     

    • Manage interactions with Accounting Outsourcing company
      • Provide relevant information enabling to prepare financial reporting on-time in-full: Input in invoicing details, follow-up of Expenses / Travel costs, Credit note bookings, Inventory reporting, follow-up on Marketing refund from vendors, Holidays monitoring, …
      • Share status on outstanding customers and suppliers
      • Monitor quarterly sales commissions in coordination with Group
      • Be the main point of contact internally for Group Finance – be the number 1 local “go-to” person
    • Follow-up with our customers
      • Continuous cash collection of customers’ receivables
      • Answer financial-related questions from our partners
    • Control invoices
      • Control UPS invoices
      • Control VAT
    • Order Management
      • Support the team when necessary in Sales Order processing (Issuing invoices, producing POs, …) for a defined list of vendors
    • Office Administration
      • Keep track of files and contracts: employment contracts, partner contracts, office-related contracts, …
      • Keep track of Business monitoring files (Technical activities, Marketing activities, …)

     

    Candidate Profile

     

    • Industry knowledge: a previous experience in the IT sector would be a plus
    • Experience: 2 years as Office Manager in another company
    • Languages: Norwegian and English
    • Personality & skills:
      • Autonomous and resourceful
      • Structured way of working
      • Committed and motivated
      • Willingness to learn
      • Team player
    • Education: basic financial knowledge is required
